Dolibarr: which companies it suits, and its limits

Dolibarr is an open source ERP and CRM, under the GPL licence, that brings customers, quotes, orders, invoices, stock and purchasing together in a simple interface. It suits companies of 5 to 50 users with stable processes. For advanced manufacturing, several companies or a very broad catalogue, Odoo covers more.

Dolibarr has a rare quality for an ERP: you understand what it does in an afternoon. No dozens of apps to pick, no weeks of configuration. That is its strength, and it is also what tells you who it is for.

In short

  • Dolibarr is free (GPL licence), written in PHP, and installs on modest hosting.

  • It covers customers, quotes, orders, invoices, stock, purchasing, projects and expenses.

  • It suits a stable scope, from 5 to 50 users.

  • Its limits: advanced manufacturing, complex multi-company setups, a less modern interface.

  • Add-on modules are on the DoliStore, each with its own maintenance.

What Dolibarr does

According to Dolibarr’s official website, the software is made of modules you enable as needed: third parties (customers and suppliers), commercial proposals, orders, invoices, payments, products and stock, shipments, purchasing, projects and time spent, expense reports, leave, bank. A double-entry accounting module also exists.

Enabling a module takes one click in the administration, without development. That is what makes setup fast: a first sales and invoicing scope runs within days.

Who it is made for

The typical profile is a trading, technical services, craft or installation company, with a readable sales process: a quote, an order, a delivery, an invoice. Teams of 5 to 50 users fit well, especially when few people are comfortable with complex software.

It also works as a first step: moving from spreadsheets to a shared database, learning to work with statuses and document numbers, before considering a broader ERP if growth demands it.

Its limits

Where Dolibarr struggles

  • Manufacturing with advanced routings and bills of materials

  • Several companies with inter-company entries

  • A dated interface on some screens

Where to look elsewhere

  • Odoo, for a broad, integrated scope

  • A dedicated CRM, for a demanding sales team

  • Connected accounting software, for accounting

DoliStore modules extend Dolibarr a lot, but each is maintained by its author. Before installing one, check that it follows recent versions. Our rule on extensions is detailed in Customising an ERP safely.

Dolibarr or Odoo

The choice is made on scope. If your requirements document comes down to sales, purchasing, stock and invoicing with simple rules, Dolibarr will be faster to set up and lighter to run. If the scope includes manufacturing, several warehouses, point of sale, an integrated online shop or several companies, Odoo covers more. Our grid Twenty, Dolibarr or Odoo sets the criteria side by side.

Hosting Dolibarr

Dolibarr runs on a standard web server with a MySQL, MariaDB or PostgreSQL database. A small server is enough for a few dozen users. As with any self-hosted software, you need tested backups, regular updates and protected access. See ERP in the cloud or on your own server.

What Dolibarr saves day to day

The most visible gain is the end of re-keying: the accepted quote becomes an order in one click, the order an invoice, and the invoice a tracked payment. The second is the complete customer record, with quotes, invoices, reminders and exchanges in one place. For a team coming from spreadsheets, these two gains are often enough to justify the project, even before stock or purchasing.

How to know whether Dolibarr is enough

A simple test: take your three most frequent flows, for example a quote turned into an order then an invoice, a supplier order received, an expense report reimbursed. Run them on a demo installation. If they go through without workarounds, Dolibarr will probably serve you for several years. If modules or developments are already needed for these basic flows, look at Odoo. The complete ERP guide details the other steps of the choice, and our CRM and ERP offer proposes Dolibarr at a fixed price from €6,500, on a written scope.

Frequently asked questions

Is Dolibarr really free software?

Yes, it is published under the GPL licence, version 3 or later. You can install, use and modify it without a licence fee. Costs come from hosting, setup, any paid DoliStore modules and the time spent running it.

Does Dolibarr handle accounting?

It has a double-entry accounting module that produces entries from invoices and payments. Many companies still prefer to keep their accountant’s software and send it the entries, which Dolibarr can export in the usual formats of accounting software.

Can you move from Dolibarr to Odoo later?

Yes, with a data migration: third parties, products, invoices and history export and import. It is not a simple switch but a migration project in its own right, lighter if the starting data is clean and well structured.
