Unpaid invoice reminders with n8n: chasing without offending

An n8n reminder workflow reads overdue invoices in the invoicing software every day, sends a reminder graded by how late the payment is, attaches the invoice and stops as soon as the payment arrives. The accountant keeps the exceptions: a customer in dispute, a negotiated payment plan, a key account to call rather than email.

Unpaid invoices do not mainly come from customers acting in bad faith. They come from an invoice that landed in the wrong inbox, a purchase order missing on the customer’s side, a supplier’s accountant on holiday. And on the side of the company waiting for its money, they often come from a reminder that goes out too late, because the person who should have sent it had the month-end close to finish.

It is the simplest accounting task to hand over to an n8n workflow, and one of the most profitable, because every day gained on a payment is cash. This article belongs to the cluster n8n workflows: what each department can automate.

In short

  • The workflow reads overdue invoices every morning and sends reminders according to stages written in advance.

  • The tone changes with the delay: a polite reminder, then a firm one, then a phone call.

  • A payment received stops the sequence, with no one stepping in.

  • Exceptions (dispute, payment plan, strategic customer) are flagged in the software and leave the circuit.

  • Moving to debt collection remains a human decision.

Why manual reminders arrive late

Manual reminders have two flaws. They depend on a free moment, which does not exist at the end of the month. And they are done in batches: everyone is chased on the same day, with the same message, which annoys good payers and is not enough for bad ones. The result shows in the average collection time, which grows longer without anyone having decided it.

Yet the legal framework encourages regularity. In France, Service Public Entreprendre sets out payment terms between businesses and late payment penalties, as well as the fixed compensation for recovery costs that must appear on invoices. A reminder that quotes these conditions at the right stage works better than a vague one.

What the workflow does

An unpaid invoice reminder in n8n

  1. Wake-up

Every morning, the workflow reads the invoices that are overdue and unpaid.

  2. Sorting

It sets aside those flagged as in dispute or on a payment plan.

  3. Reminder

It picks the stage according to the delay and sends the message with the invoice attached.

  4. Record

It logs the reminder in the customer record and alerts the accountant at the last stage.

The trigger is a daily schedule, which the n8n documentation describes with its scheduled trigger. The workflow queries the invoicing software (Odoo, Dolibarr, Pennylane, a Swiss or Belgian package depending on your case), works out how late each invoice is and applies the rule.

The stages, written before automating

The most useful part of the project is not technical. It is writing the stages, with the accountant and management.

  1. Before the due date.

A friendly reminder a few days before, with the invoice. Many unpaid invoices disappear at this stage, because the customer finds out they never received it.

  2. Just after.

A polite reminder, asking whether something is missing (purchase order, bank details).

  3. Settled delay.

A firmer message, recalling the payment terms and the penalties provided for.

  4. Last stage.

No more automatic email: a task for the accountant or the sales rep, who calls.

The last stage is human on purpose. A phone call often settles in five minutes what three emails have not, and it protects a business relationship that an automatic message that is too curt could damage.

The exceptions that protect the relationship

A reminder workflow that does not know the exceptions is dangerous. It chases the customer who disputed the invoice the day before, or the one the managing director gave three more months. The fix is simple: a field in the invoicing software or the CRM (“in dispute”, “payment plan”, “do not chase”), which the workflow reads before sending anything. The accountant keeps control of this field.

The sales rep also needs to be in the loop. When a key account reaches the third stage, the rep who looks after this customer should know before a firm email goes out. If your CRM and your invoicing software do not talk to each other yet, the first step is to bring the payment status into the customer record, as in the flow described in From signed quote to paid invoice.

What to measure next

Three figures are enough, taken from your own software: the average time between due date and payment, the number of invoices that reach the last stage, and the time the accountant still spends on reminders. Comparing them before and after three months tells you whether the workflow has paid off. The same tracking feeds the cash alert, which needs to know what money is coming in.

Key takeaway

The workflow sends the reminders, the accountant decides. Anything involving a dispute, a payment plan or debt collection stays in human hands.

To set up this workflow on your invoicing software, with your stages and your exceptions, our n8n automation offer starts from your real aged debtors list and delivers the reminders with their monitoring.

Frequently asked questions

Could an automatic reminder offend a customer?

The risk comes from the tone and the exceptions, not from automation. A first reminder before the due date, polite and useful, is rarely badly received. What offends is the firm reminder sent to a customer in dispute or one who was given more time. Hence the exception field read by the workflow, and the last stage handed to a person.

Can you send reminders through a channel other than email?

Yes. n8n can send a text message, a message in a business messaging tool, or create a call task in the CRM. For most companies, email remains the channel for the first stages, because it leaves a record and carries the attached invoice. The other channels are rather for the last stage, or for customers who do not read their emails.

What should you do when a customer pays in part?

The workflow must read the remaining balance, not just the paid or unpaid status. A part payment can pause the sequence and create a task for the accountant, who checks whether it is an agreed deposit, a mistake or a dispute over part of the invoice. This is a case where an alert is better than an automatic reminder.
